View Survey Results

Once you've launched and started receiving responses to your survey, you'll go to the Results tab to view your results.  On the top left corner of the tab you can quickly see the number of people who have responded to your survey (i.e. 8 people have responded to this survey).

Generating a Survey Report

Generating a survey report can involve several steps depending on the number of settings you apply.  The high-level procedure for generating a survey report is below, with links to the procedures for each of the major steps.

To generate a survey report:

  1. Select the type of report that you want to generate.  See Types of Reports.
  2. Specify the date rage for the report.  See Dates.
  3. Define one or more filters for the report.  See Report Filters.
  4. Click Continue.
  5. Select the report properties to include in the report.  See Confirm Report Properties.
  6. Click Generate Report.

Types of Reports

In the Task section you can choose one of three types of reports to generate:

  • Generate an analysis report - This will generate a print-ready analysis report about your survey results.  The report can be printed or saved as a PDF and shared with others.  For more information about this report, see Generating an Analysis Report.
  • Examine each completed questionnaire - This will open a screen where you can view a single response at a time and navigate between responses.  For more information about this report, see Viewing Individual Questionnaires.
  • Download raw data - This will create a tab-delimited text file with your response data which you can archive or download to your computer for futher analysis. For more information about this report, see Downloading Raw Data.

Dates

In the Dates section you can specify if you want to only show responses received within a certain date range.

  • To include all responses (i.e. no date filter), select All Dates.
  • To only show responses in a certain date range, select Only dates between and enter a start and end date.  Note that these dates are inclusive, which means that if, for example, you choose start as 1/1/2008, it will include responses received 1/1/2008 and after.

Once you have specified a date range for the report, you can use report Filters to narrow your report results to only include responses to specific questions.  Filters are described below.

Report Filters

By default, reports include the responses of all of the survey respondents.  You can set filter(s) on your report to only view responses that match a certain criteria such as a particular Region.

  1. To set filters click the Define button. The Filters page displays.

The following types of filters are available:

  • Filter by Question Answer(s).
  • Filter by Invitation.
  • Filter by Invitation Custom Field value.

Each type of filter is described below.

Filter by Question Answer(s)

Use this filter to display only the responses that contain a specific reponse to a specific question.

  1. On the Results tab, click the Define button.
     
  2. On the Filter page, click Filter by Question Answer(s), and then click Next.

  3. On the Filter by Question page, select the question to use to filter your results, and then click Next.

    A page appears displaying the options for the question that you selected.  The following example is for a Text Box question type.

  4. Enter a value or select an option(s) to use to filter your results, and then click Next.  The Results tab displays your filter.

    • To remove your filter, click Clear.
       
  5. To generate your report, click Continue.  Next, you will Confirm Report Properties.

Filter by Invitation

Use this filter to display only the responses that were sent in response to a specific survey invitation.

  1. On the Results tab, click the Define button.
     
  2. On the Filter page, click Filter by Invitation, and then click Next.

  3. On the Filter by Invitation page, select the invitation(s) to use to filter the report results, and then click Next.  If you have not created invitations for a survey then there will not be any invitations to select on this page.  For information on creating invitations, see Send a Survey.

    The Results tab displays your filter.

    • To remove your filter, click Clear.
       
  4. To generate your report, click Continue.  Next, you will Confirm Report Properties.

Filter by Invitation Custom Field value

Use this filter to display only the responses that were sent in response to a specific survey invitation custom field value.  For more information on survey invitation custom field values, see Sending Email Invitations from Vista.

  1. On the Results tab, click the Define button.
     
  2. On the Filter page, click Filter by an Invitation Custom Field value, and then click Next.

    The Filter by Custom Field page displays.

  3. On the Filter by Custom Field page, select a custom field, and then click Next.  If you have not created invitations for a survey with custom fields then there will not be any custom fields to select on this page.

  4. On the Filter page, select all of the values for the custom field to include in the analysis report.  Select (Blank) to include anonymous results in the report. Click Next.

    The Results tab displays your filter.

    • To remove your filter, click Clear.
       
  5. To generate your report, click Continue.  Next, you will Confirm Report Properties.

Defining multiple filters

You can define multiple filters for a survey results report.

  1. After you have defined one filter, on the Results tab, click the Define button.
     
  2. On the Filter page, select one of the following options:
     
    • Replace current filter - This will replace the current filter(s) with a new filter.  
       
    • Results of the last filter - This will let you apply a new filter to the results created from the existing filter.
       
  3. Click OK.
     
  4. Define the additonal filter. 

Confirm Report Properties

Once you have set the Task, Dates, and Filter for your survey results report you can configure the report properties.

  1. On the Results tab, click Continue.

    The Confirm Report Properties page displays.

  2. Select the report properties to include in the report, and then click Generate Report

You can select from the following report properties.

  • Introduction - Includes an introduction page at the beginning of the report (right after the cover page) which outlines the report contents.
  • Results Analysis - Includes the results analysis and response breakdown for the responses to each question in your survey.
    • Confidence intervals - Includes confidence intervals in the response breakdown analysis.
    • Correlation analysis - Wherever possible, includes a correlation analysis which highlights statistical links between responses.
    • Answers to open-ended questions - Includes the text users entered in response to open-ended questions.
  • Questionnaire - Includes a copy of the original questionnaire at the end of the report.
  • Notes - Includes a Notes section at the end of the report providing reference information about the analysis performed.
  • Completed Questionnaires - Includes a copy of each completed questionnaire at the end of the report.  Note that if you have a large number of responses or a very large survey it is recommended that you do NOT check this option as it will greatly increase the size of your report.
